How Viewpoint Vista Handles Payroll and Workforce Management

Viewpoint Vista handles construction payroll natively, and its strength is that labor cost flows straight into job cost rather than arriving as a summary journal. SelectView Data Solutions builds for Vista and Spectrum.  Our goal with this blog is to present an honest assessment of what the payroll module does well, where contractors typically need more, and how the workforce side compares.

What Vista payroll does well

Vista was built for construction payroll rather than adapted to it, and that shows in four places:

Job costed labor

Hours are entered against job, phase and cost type, so burdened labor cost lands in job cost at the correct level of detail.

Craft and Class

Trade classifications drive pay rates, fringes and certified payroll reporting, which is what makes prevailing wage work possible.

Union and fringe handling

Multiple unions, benefit funds and reciprocity are supported rather than bolted on.

Certified payroll

The module produces certified payroll output directly, including transcript and liability variants.

For a contractor with prevailing wage exposure or union agreements, this combination is the reason to run payroll in Vista rather than in a general payroll service.

Where contractors typically need more

Tax filing and payment

Vista calculates; filing is a separate discipline

Many contractors use a payroll service for filing while keeping job costing in Vista

Time capture

Entry is efficient but not a field app

Field time capture feeding Vista, rather than paper to keying

Agency specific certified payroll

Standard output is not every agency’s layout

HR and benefits administration

Vista covers HR data, not full benefits self service

The workforce management question

Workforce management covers scheduling, time capture, certifications, benefits and self service. Viewpoint Vista integration holds the employee record and the payroll consequence of workforce decisions. However, it is not primarily a workforce experience system. This is why contractors above a certain size commonly run a workforce platform alongside it.

When they do, the decision that matters is which system is the source of truth for the employee data. If both systems believe they are, you will spend the following year reconciling. Our recommendation is that the workforce system owns employee and benefits data, Vista owns payroll processing and job cost, and the integration is one directional for each field rather than bidirectional for everything.

Certified payroll, specifically

This is where Vista earns its place. Because Craft and Class drive both the pay rate and the reported classification, certified payroll comes out of the same data that paid the worker. The caveat is that the configuration has to be right: base rate and fringe held separately, effective dated rate changes rather than overwrites, and timecards coded to the correct classification.

What to fix before adding anything

Confirm Craft and Class reflect current wage determinations, with effective dated history.

Check that fringes are held separately from base rates.

Reconcile payroll labor hours to job cost labor hours for a recent period. A gap indicates a coding or posting problem.

Decide the employee data source of truth, before integrating any workforce system.

Only then consider what to add.
